Workshop on SIOBA (Outcome-Based Assessment Information System) at FKG UGM Strengthens Faculty Implementation for Accreditation and Portfolios

The Faculty of Dentistry, Universitas Gadjah Mada (FKG UGM), organized a Workshop on SIOBA (Sistem Informasi Outcome-Based Assessment) as part of a mentoring series for lecturers, Heads of Study Programs, and examination teams in implementing outcome-based learning assessment (18/11). This was the third workshop in the series, following previous sessions for program heads and faculty leadership.

In her opening remarks, Dr. drg. Sri Budi Barunawati, M.Kes., Sp.Pros., Subsp. PKIKG(K), stated that the workshop represents an initial step in fulfilling the university’s mandate to develop comprehensive student portfolios for undergraduate, postgraduate, and specialist programs. This process has become increasingly critical following the shift in accreditation systems from quantitative to qualitative approaches, which require more detailed, outcome-based reporting.

“SIOBA data entry will ultimately generate a complete portfolio for each student, which is one of the assessment components required by LAM-PTKes,” she explained.

The core session focused on hands-on guidance for completing SIOBA, led by drg. Aryan Morita, M.Sc., Ph.D., under the assignment of the Vice Dean for Academic Affairs of FKG UGM. Participants were guided to log into their accounts, access the teaching menu, select Outcome-Based Assessment (OBA), and choose the relevant semester. Lecturers were also instructed to bring supporting documents, including the Semester Learning Program Plan (RPKPS) and assessment instruments.

Drg. Aryan explained the OBA workflow, which includes several stages from study program setting verification to uploading RPKPS. The SIOBA system, integrated with e-RPKPS, allows assessment data, learning outcomes, and evaluation components to be stored systematically and easily traced.

He emphasized that only lecturers listed in the teaching team are authorized to complete OBA entries for specific courses. “If, at the beginning of the semester, the study program administrator has not entered the list of lecturers, only the names shown in the lecturer column can access the system. In such cases, the administrator must update the data,” he clarified.

Participants then practiced completing OBA according to their respective semesters. Features such as semester selection, validation status indicators (gray, yellow, green), and action submenus including RPKPS input, portfolio completion, and recap were explained in detail to ensure clarity of system workflows.

Despite some login and submenu access difficulties, the mentoring team provided immediate technical assistance. The workshop proceeded interactively, with lecturers raising questions regarding assessment components, learning plans, and data adjustments to ensure complete and updated semester evaluations.

At the closing session, the organizers emphasized that SIOBA completion is not merely an administrative requirement but also a strategic effort to enhance outcome-based assessment quality and prepare the faculty for increasingly stringent accreditation demands.

The workshop concluded with the hope that all course lecturers would gradually complete their data entries with ongoing support from study program administrators and resource persons.
